Approvals

A file reaches its approvers once it is Validated. Approvers receive the Approval pending email and act on the row in Upload Manager.

Approval policy

Set on the template's Access panel, in the Approvals section. See Template Manager.

If the template has no approvers, files skip approval entirely and are auto-approved. The Auto-approved email still goes out.

Before you approve

  1. Read the skipped records. If validation set records aside, they are attached to the approval email - as a workbook, and as a text file grouped by reason. They will not reach OTM, and approving does not change that. See Validation.
  2. Open View Source and read the file. Use the Errors, Warnings and Skipped filters to go straight to the rows validation flagged. For a rate's full detail - lane, charges, accessorials - open it in Rate Viewer. See View Source.
  3. Read the Change History to see what the uploader edited by hand.
  4. Confirm the load behaviour on a large file - a template whose Rate Geo action is Expire & process will expire rates already in OTM. See Publishing to OTM.

Approving

  1. In View Source, tick I've reviewed the data in this file at the bottom.
  2. The Approve button on the row unlocks. Until you tick the box, the row shows review required.
  3. Click Approve, add a comment, and confirm.

Once you have approved, the row shows You approved. Only configured approvers see Approve and Reject; anyone else sees awaiting approvers.

Rejecting

Click Reject and add a comment the uploader can act on. The comment is required - it is the only thing the uploader has to work from, and it is sent in the Rejected email.

After approval

Loading starts automatically. The row moves Approved -> Queued for OTM -> Processing -> Completed - or to Staged first if the project is in business hours. See Statuses.

Once a file has an approval, Revalidate and Reprocess are no longer offered - what you approved is what loads.
